Full Compliance Documentation

In regulated environments, the quality of a floor care program is not measured solely by the condition of the floor — it is measured by the completeness and accuracy of the records that demonstrate the program was delivered to standard. Food safety auditors, WHS inspectors and regulatory bodies require evidence, not assurances. N Floorcare's documentation system is designed to provide that evidence in a format that is immediately usable for compliance reporting.

What our documentation covers

For every service visit, N Floorcare generates a standardised service record covering the date and time of the visit, the areas treated and the sequence in which they were addressed, the equipment used with reference to its current service status, every chemical applied (product name, supplier, lot number, dilution factor, application rate and contact time maintained), surface condition observations with photographic evidence at reference points, and any anomalies identified with the action taken or recommended.

These records are retained in a structured format accessible through your dedicated site manager and provided to your facility in the format required for your specific compliance system — whether that is a paper-based service folder, digital documentation integrated with your quality management system, or a structured audit pack prepared in advance of a scheduled inspection.

Safety data sheets and chemical registers

N Floorcare maintains a current chemical register for every client site, including up-to-date Safety Data Sheets for every product used in your program. This documentation is available at your facility at all times and is updated whenever a product is added, substituted or removed from your program — ensuring your chemical management obligations under WHS legislation are continuously met.

Photographic evidence

Photographic condition records are taken at consistent reference points across your facility at agreed intervals — providing visual evidence of floor condition trends over time that supports both compliance reporting and the program's internal performance review process. These photographs are date-stamped, geotagged where required and retained in your program documentation package.

Audit preparation support

When your facility faces a scheduled or unscheduled regulatory audit, N Floorcare's documentation system is structured to respond quickly. Your site manager can prepare a complete audit evidence package covering any specified period within the program's documentation history — giving your compliance team the materials they need without requiring significant internal administrative effort to compile records from multiple sources.
